2. Service Description

Informa Events provides:

  • Event registration and participant management
  • Secure check-in/check-out systems with barcode technology
  • Volunteer and crew management tools
  • Communication services (email and SMS)
  • Reporting and attendance tracking
  • Safety and incident management features

3. User Accounts and Responsibilities

Organizations and users are responsible for:

  • Maintaining the confidentiality of account credentials
  • All activities that occur under their accounts
  • Ensuring authorized personnel have appropriate access levels
  • Accurate and truthful registration information
  • Compliance with child protection laws and regulations

4. Child Safety and Protection

Organizations using this service agree to:

  • Implement appropriate child protection policies
  • Conduct background checks on staff and volunteers as required by law
  • Use the authorized pickup system to ensure child safety
  • Report any safety concerns or incidents promptly
  • Maintain accurate medical and emergency contact information

5. Acceptable Use

Your organization retains ownership of all participant and family data. Our use of this data is governed by our Privacy Policy. We commit to:

  • Allowing data export and deletion upon request

7. Service Availability

While we strive for 99.9% uptime, we do not guarantee uninterrupted service. Organizations should maintain backup check-in procedures for critical events.

8. Limitation of Liability

Informa Events shall not be liable for any indirect, incidental, or consequential damages. Our liability is limited to the fees paid for the service in the preceding 12 months. This platform is a tool to assist with event management; ultimate responsibility for child safety remains with the organization.

9. Indemnification

You agree to indemnify and hold harmless Informa Events from any claims arising from your use of the service, including but not limited to claims related to data breaches resulting from your negligence or violation of these terms.

10. Termination

We reserve the right to suspend or terminate access to the service for violations of these terms or for any activity that may harm the safety and security of participants or other users.

11. Changes to Terms

We may update these terms as needed. Material changes will be communicated via email to the primary organization contact.
